Error: Cannot Record QuickBooks Payment Because the Invoice Has More Paid Than the Zoey Invoice

The following error occurs when a QuickBooks Online payment is greater than the amount remaining on the linked Zoey invoice:

Cannot record QuickBooks Payment Amount because the QuickBooks Invoice has more paid than the Zoey Invoice Amount Remaining to Pay. The Zoey Invoice will no longer automatically check for QuickBooks Payments and must manually be marked as Paid in Zoey.

For example:

• QuickBooks Payment Amount: $2,770.82
• Zoey Invoice Amount Remaining to Pay: $2,758.82
• Difference: $12.00

What causes this error?

This error means the amount paid on the QuickBooks invoice is greater than the total due on the linked Zoey invoice.

This typically occurs when the QuickBooks invoice total is more than Zoey invoice total. The reason for that depends on whether the invoice was synced to/from Zoey.

If the invoice originated in Zoey and now fails to sync its payment from QuickBooks, the issue is that the amounts are different in QuickBooks. It can be because of differences in the Product Prices, Shipping Amounts, or Fees recorded on the QuickBooks Invoice which make its total greater than the Zoey Invoice.

The QuickBooks Invoice Import creates a Zoey invoice using the quantities and amounts on the linked QuickBooks invoice. Changes made to the QuickBooks invoice after it is imported will cause the linked invoices to have different totals.

How do I resolve this error?

1. Compare the item quantities and amounts on the QuickBooks and Zoey invoices.
2. Identify the invoice item causing the difference.
3. Edit the item quantity on the Zoey invoice to match the quantity on the QuickBooks invoice.
4. Confirm that the Zoey invoice total now matches the QuickBooks invoice total.
5. Manually record the payment or mark the invoice as paid in Zoey.

For example, a product may have a quantity of 7.5 at $24.00 on the QuickBooks invoice but a quantity of 7 on the Zoey invoice. Updating the Zoey invoice quantity to 7.5 adds the missing $12.00 and makes the invoice totals equal.

If the quantity cannot be edited, adjust the applicable invoice amounts so the Zoey invoice total matches the QuickBooks invoice total before manually recording the payment.
